I'm worried about my data - is it backed up?

Data is backed up nightly and written to multiple disks instantly. We can perform full backup recovery in the event of a system-wide emergency. Our hardware is also fully redundant so even if one disk or server fails nothing will be lost and the system will not go down. Our uptime is over 99%.

Is it safe to give you my personal information for billing?

We take all reasonable precautions to keep your information safe and secure – including encrypting sensitive data. Our servers are hosted with Rimuhosting, a recognized leader in high-end hosting.

As odd as it sounds, your data is probably more secure on our servers than you storing it on your own hard drive.

In the very unlikely event of a security incident, we’d be in more peril of someone duplicating our application and attempting to resell it than you losing your data or someone stealing your identity.

How does the Cashboard free trial work?

We allow all new customers of Cashboard to try our premium account features for 15 days.

After these 15 days are up you can decide to pay and continue using our premium features, or get automatically downgraded to our FREE account level.

Do I have to install anything to run Cashboard?

Absolutely not. Cashboard is hosted on our secure internet servers.

All you need to access Cashboard is a web browser and an internet connection, which you already have if you’re looking at this web page.

Do you offer phone support?

We provide unlimited support via email for our paying customers, but we do not provide support over the phone.

We do our best to respond to every email within just a few hours of receiving it. All support emails are answered by a knowledgeable member of our staff at Subimage LLC, and more often than not – by the developers and designers of the product themselves.

We do not outsource our support overseas or employ unqualified support staff.

What am I actually purchasing?

With your monthly Cashboard payment you are purchasing the right to use our service.

We own the software, you own your data. You can download your data any time you like.

What if I want to cancel?

We’d hate to see you go, but you may cancel at any time.

We’ve made upgrading, downgrading, or canceling just as easy as using Cashboard. Just visit the ‘Settings’ tab from within the application. Click the ‘Account’ sub-tab. At the bottom of that page you will find a large red cancel button.

Cancelling your Cashboard account will immediately destroy all of your information kept on our servers.

It may not be recovered at a later date.

How can I pay for Cashboard?

We accept Visa, Mastercard, American Express, and Discover. You enter your credit card information during sign-up and we will bill you every 30 days.

At this time we don’t accept any other forms of payment.

How do I export my account data?

Cashboard allows you to export all of your account data as an XML file once daily.

To do so, visit the Settings tab, then click on the Integration sub-tab.

Click the Export Cashboard Data as XML button and your data export process will be started. An email will be sent to your account owner with a link to download the data.

After the export is done there will also be a link presented from that same section from within the application.

What are "Active Projects"?

Active projects are projects that are being worked on currently. You may create tasks, log time, and create invoices for them.

Closed projects may not be worked on in any way. This means no time may be logged, no tasks edited, and no invoices generated.

Invoice / Active Projects

You don’t have to have a project active to create an invoice for a client. You only need to keep a project active for invoicing if you wish to bill for time you’ve logged against that project.

Estimate / Active Projects

When you create an estimate you are creating a potential project. You are not charged for potential projects. Only if your client accepts an estimate and you activate the project for that estimate is it counted against your active project count.

How do I change my account plan?

If you need to upgrade or downgrade your Cashboard account plan login and visit the Settings tab, then click the Account sub-tab.

From that screen you may click the upgrade or downgrade button that corresponds to the account plan you’d like to move to.

Be aware that if you’re downgrading to our FREE account plan you will lose any customizations you’ve made to your invoice, estimate, and payment templates.

How do I delete a project?

To delete a project first navigate to it by clicking it’s name from the main Project screen. You will see a Delete Project button on the right side of the screen.

Click it to delete the project.

How do I delete a company?

To delete a company first navigate to the Companies & People tab. Click the Edit this company link for the company that you’d like to delete.

Click it to delete the company.

Keep in mind, this will delete everything for the company (including projects, users, invoices, and payments). You may not delete your own company.

If you wish to destroy all data we have stored for your company, you’ll need to cancel your account.

Can we purchase Cashboard for installation on our server?

No, Cashboard is only available as a hosted product. We maintain the servers, the security, all the updates and improvements so you don’t have to worry about anything.

Why aren't my clients getting email?

When you create your clients by default they will not receive an email.

You must make sure to check the small box underneath the email text area that reads “Send welcome email with generated password”.

This option is off by default.

Also have them check their SPAM folders to make sure the emails aren’t being caught by an overzealous spam filter.

If you’d like to send a user (client or employee) their sign up email again

  1. Edit their account from the Companies & People tab.
  2. Click on the “Reset password and send welcome email notification” link on the right of that screen.

Where email comes from

All emails sent from Cashboard will come from your account owner’s email address. It’s a wise idea to check your own email to make sure that they aren’t bouncing.

Why was my account disabled?

Paying accounts are disabled after three days if payment may not be processed.

This usually happens because you don’t have a valid credit card on file with us.

If your account has been disabled

Visit this page to change your billing information and make a payment.

If a successful payment is made at that page your account will be enabled again immediately.

This can also happen if you don’t have a valid email address on file

If you have signed up and the signup email bounces your account can and will be disabled. Email us with a proper address to get it reactivated.

How can I customize my invoices?

You can customize your Estimate documents in any way inside Cashboard.

We give you full access to the HTML and CSS our server uses to produce the files. And with one click, you can PDF those files to email to your clients, or for your own archives.

  • Fully customize the language
    • Translate the document to your own language. Feel like invoicing in Chinese? German? Go right ahead…

    • Upload your company logo in GIF, JPG, or PNG format

What do my clients see?

Provider and Client interfaces

Cashboard has two different interfaces. One for you (the provider of services), and one for your clients.

You have total control over what time entries are shown to your clients and when.

Billable vs Non-billable time

Time entries never get shown to your clients if they’re marked non-billable.

Billable and non-billable time

All items by default are entered as non-billable time. This assures that you can approve your employees time before showing it to your clients.

Controlling when billable time gets seen

When clients log in, they can see tasks and time logs for their projects. When these items are visible is totally up to you, on a per-project basis.

Visit your project’s Details screen, and you’re presented with the following options.

Show time to client
  • When invoiced
  • When marked billable
  • Never

This allows you to be totally transparent about your work in progress, enables you to refine time entries as you go along, or hide entries from your clients all together.

Let your clients track your progress

Clients love to know how you’re performing. This is why we provide them with an easy to read view of all project tasks.

Here they can see what items are complete or incomplete, and a breakdown of all time and costs involved.

Of course, these times always reflect the privacy settings made for your project. If you specify that time entries should Never be shown, the Time Log and Tasks screens will not be available to your clients.

Why do I have negative time entries?

You will get negative time entries when using weekly timesheets if you adjust hours down. The system acts in this manner because it’s the best way to handle adjustments from the weekly view.

The only other automatic solution would be to adjust or delete entries that already exist, which we believe is unacceptable.

How do I change my time zone?

Time zones are now properly supported within Cashboard.

To change the time zone for your account, visit the Settings tab. From there click the Account sub-tab, and you’ll be presented with a form that will let you change your time zone.

We monitor Cashboard’s uptime and connection using the service Pingdom.

Cashboard is monitored from 15 different locations around the globe every 5 minutes, and we’re alerted if it ever goes down.

How do I approve my employee's timesheet?

Cashboard can make it easy to approve your employee’s timesheet entries.

In order to configure this, set the preference under your Settings > Account screen for “Mark time entries billable by default” to off. This will make all time entries created “non-billable” by default.

You then can approve your employees timesheets by marking the approved entries as billable from the Timesheet Daily or Search screens.

Project Billing Preferences

Cashboard projects have three billing types you can select from. The project billing preference you choose determines how the it will be invoiced, or if it can be invoiced at all.

  • Task rate (default)
    Invoices tasks on your project at the rate set on a per-task basis
  • Employee rate
    Invoices tasks on your project at the rate set for each employee tracking time for it. When invoiced, tasks will be broken into multiple invoice line items – one per employee who tracked time on the task.
  • Non-billable / internal
    All time tracked for this project is marked non-billable. These types of projects will also not show up on your dashboard under the ‘projects to invoice’ section.

What is the Max Monthly Limit?

Cashboard’s Max Monthly Limit allows you to control how much you spend on our service in any 30 day billing cycle. This is great for business owners who enjoy our DYNAMIC pricing model but want to be able to budget for their costs at the same time.

You can set the Limit to any dollar amount you choose, and your account will automatically be limited based on that number.

For instance, let’s say you set your Limit to $15.

With a limit of $15 you can then invoice 5 clients ($0.25 ea – 1 free), or have one additional employee login ($5 ea) to Cashboard.

After your Limit is reached you will be prevented from invoicing any clients you haven’t already invoiced.

Similarly, any employees who have not been counted as Active Employees will be prevented from logging in up until your next Cashboard payment date.

You can increase your Max Monthly Limit at any time to enable more employees to login, or if you wish to invoice any new clients within a 30-day Cashboard billing cycle.

After your next payment is processed the Active Employee and Clients Invoiced lists will reset.
